Corporate IT Office Relocation from Kolkata to Patna
Project Overview
Relocating an operational office requires detailed planning because business equipment, confidential documents, and IT infrastructure must reach the new location safely and be ready for installation without unnecessary delays.
This project involved relocating a corporate office from Kolkata to Patna. The office consisted of workstations, desktop computers, networking equipment, servers, office furniture, filing cabinets, printers, and business records. The relocation was planned over a weekend to minimize disruption to daily operations.
Project Information
Initial Site Assessment
Before confirming the relocation schedule, our operations team conducted a pre-move survey at the office premises. During the assessment, the following areas were reviewed: Total number of employee workstations, Server and networking equipment, Conference room furniture, Executive cabins, Storage cabinets, Printer and copier machines, Sensitive company files, Building loading dock availability, and Vehicle parking access. The survey also helped determine the packing materials, manpower, and vehicle capacity required for the project.
Project Challenges
Unlike household relocation, office shifting requires careful coordination because every department depends on equipment being available after relocation. The primary challenges included: Safely transporting desktop computers and networking hardware, Packing confidential business documents separately, Dismantling modular office furniture, Completing loading after office hours, Planning interstate transportation without affecting business continuity, and Organizing workstation components for easy installation.
Relocation Planning
A relocation schedule was prepared in consultation with the company representative before moving day. The planning included: Department-wise inventory preparation, Asset identification and labeling, Weekend loading schedule, Vehicle allocation, Route planning, Delivery timeline, and Team responsibilities. Each workstation was assigned an identification code so that monitors, CPUs, keyboards, chairs, and accessories could be placed back together during installation.
Packing Process
Different office assets required different packing methods based on their nature and sensitivity. Packing materials included: Anti-static bubble wrap for computer systems, Foam sheets for monitors, Corrugated cartons, Stretch film wrapping, Corner protectors for office furniture, Heavy-duty cartons for documents, and Numbered labels for every workstation. Networking accessories, cables, and peripherals were packed separately to simplify reinstallation.
Loading, Transportation & Delivery
Loading was carried out after office working hours to avoid disrupting employees. The relocation team used: Platform trolleys, Furniture dollies, Protective moving blankets, Loading straps, and Equipment handling tools. After loading, all inventory was verified before dispatch. The container truck followed the planned interstate route from Kolkata to Patna.
Upon arrival, unloading was completed according to the office floor plan provided before transportation. The relocation included: Department-wise unloading, Workstation placement, Furniture reassembly, Conference room setup, Executive cabin arrangement, Server room equipment placement, and Final inventory verification. This organized approach helped the office begin its internal setup process without searching for misplaced equipment.
