Corporate Office Relocation from Park Street to Sector V
Project Overview
Office relocation requires careful planning because even a few hours of downtime can affect daily business operations. Unlike residential moving, commercial relocation involves expensive IT equipment, confidential company documents, modular office furniture, and multiple departments that need to be reinstalled systematically.
This project involved relocating a medium-sized corporate office from Park Street to Sector V. The client wanted the entire relocation to be completed over the weekend so employees could resume work on Monday morning without disruption.
Our operations team created a detailed relocation schedule after conducting a pre-move survey and coordinated every stage of packing, loading, transportation, unloading, and workstation setup.
Project Information
Initial Site Inspection
Three days before the scheduled relocation, our project coordinator visited both office locations to inspect the inventory and understand access conditions.
During the survey, the following observations were recorded: 35 employee workstations, Executive cabins, Conference room furniture, Reception desk, Desktop computers, Laptops, Networking switches, UPS systems, Printers, Confidential HR and finance documents, Modular office partitions, Limited loading space outside the existing office, Fixed loading timing approved by building management, and a dedicated service lift at the destination.
The survey also helped estimate manpower requirements, vehicle size, packing materials, and loading duration.
Challenges Identified
Every office relocation presents unique operational challenges. For this project, the team identified several key factors before moving day:
Weekend Completion Requirement: The office remained operational until Saturday evening. All packing, transportation, unloading, and workstation installation had to be completed before Monday morning.
Sensitive IT Equipment: Desktop computers, networking devices, monitors, and UPS units required anti-static packing to reduce handling risks.
Department-wise Organization: Each department needed to be installed in its designated location at the new office to minimise setup time.
Confidential Business Records: Important company files required secure packing and separate inventory tracking throughout transportation.
Pre-Move Planning
After the survey, our operations team prepared a relocation plan covering every stage of the move. Planning included: Complete inventory preparation, Department-wise workstation numbering, Packing material allocation, Vehicle scheduling, Loading sequence planning, Building management coordination, Service lift reservation, Team briefing, Safety inspection, and Final relocation checklist.
This preparation helped ensure that every member of the relocation team understood their responsibilities before moving day.
Professional Packing Process
Packing began immediately after office hours on Saturday evening. Different packing materials were selected according to the type of equipment.
Office Furniture: Executive desks, conference tables, modular workstations, cabinets, and chairs were dismantled wherever necessary. Protection included: Corrugated sheets, Stretch wrapping, Foam sheets, Furniture blankets, and Edge protectors.
IT Equipment: Desktop computers, monitors, networking equipment, printers, and UPS systems required specialised handling. Our packing process included: Anti-static bubble wrap, Foam cushioning, Individual equipment labeling, Cable organization, and Separate accessory cartons. Each workstation received a unique identification number to simplify installation at the new office.
Office Documents: HR records, finance files, contracts, and company documents were packed separately using reinforced cartons. Every document carton received department labels and inventory numbers before loading.
Loading Process
Loading was carried out according to the planned sequence. Heavy furniture entered the vehicle first, followed by modular partitions, cabinets, and office chairs. Electronic equipment was loaded only after furniture had been secured.
Furniture blankets were placed between large items to minimise direct surface contact during transportation. The loading team also used: Heavy-duty furniture trolleys, Loading ramps, Moving straps, and Protective corner guards.
Before dispatch, the project coordinator completed a final inventory verification.
Transportation Strategy
The vehicle departed after commercial traffic restrictions had eased. A dedicated closed-container truck was selected to protect office assets from dust, moisture, and weather exposure during transit.
The route was planned in advance to avoid heavy congestion across central Kolkata. Throughout transportation, the project coordinator remained in contact with both office representatives.
Unloading & Office Installation
After arriving at the new office in Sector V, unloading began according to the client's seating layout. The relocation team coordinated with building management before accessing the service lift.
Furniture was reassembled department-wise. Computer systems were placed on the correct workstations using the identification labels prepared during packing. Conference room furniture was installed first, followed by executive cabins and employee workstations. Document cartons were delivered directly to the designated departments.
Project Outcome
The relocation was completed successfully within the planned weekend schedule.
